❗Before diving in, this is for the business owners and entrepreneurs: we're building AI automation workflow guides: step-by-step, click-by-click, tool-by-tool so the repetitive work runs itself. Tell us what you'd automate.
Who This Is For
This lab is for founders, solo operators, and B2B sellers who want a faster, AI-assisted way to send outreach that is personalized to the individual instead of blasted to a list.
It is especially useful if you are:
Watching personalization quality drop the moment your list gets longer than a handful of names
Running outreach across a standing list of leads every week and re-doing the same research from scratch
Working a second channel like email as an afterthought instead of part of the sequence
This workflow makes the most sense when you are working a list of ten or more cold leads a week and want each message tied to a real, verifiable trigger from that person's profile.
How the Workflow Runs
Paste profile blocks → Detect strongest trigger → Draft 3-part sequence → Verify limits → Review and approve
Time to Set Up
Time to set up: 15 to 25 minutes for the first setup
After that: Seconds per lead to scrape and draft. Budget 20 to 40 minutes weekly to add new leads to your queue, review the drafted sequences, lightly edit, and send the keepers.
If you wire up the Apify pull for the first time, add 15 to 30 minutes of one-time setup, and expect a wrong-input-field hiccup on the tool side before the clean run.
Tools Needed
Your preferred AI (we used Claude for our test)
Your sender brief: who you are, what you offer, what a yes looks like
Target LinkedIn profiles (About, Experience, recent posts)
Optional: Apify (harvestapi LinkedIn scrapers) to pull profiles from a URL
Step-by-Step Walkthrough
Step 1: Understand what the outreach workflow should and should not do
The outreach workflow can help with:
Finding the single strongest, verifiable reason to reach out to a specific person right now and matching that trigger to the opener pattern that performs best for it
Writing a 3-part warm LinkedIn sequence plus a cold email backup
Enforcing strict character and word limits, then counting them so nothing slips through
Routing the finished draft to chat, Notion, Slack, or a Gmail draft
It cannot fully replace your judgment on the send. This is a drafting engine, not an auto-sender.
It does not cover:
Sending messages for you. A human approves every send, always.
Inventing context. If the profile is thin, Claude says so rather than guessing.
Verifying loud cross-platform stats. Follower counts that conflict across platforms get left out, not quoted.
Getting around LinkedIn's rate limits or terms of service. Automated scraping is internal tooling for scale, not the default for public demos.
Step 2: Set up the workflow in Claude
Open Claude, paste the base prompt from the Prompt section in Step 7, and fill the two bracketed blocks: your sender brief and the lead's profile. For the manual version (Tier 0) you copy the About, Experience, and recent posts straight off the profile and paste them in. That is the whole setup and it works for anyone immediately.
To scale, add Apify. Give Claude a clean profile URL and let the harvestapi LinkedIn profile and posts scrapers pull the three blocks for you. Same prompt, the data just arrives on its own.
Note: In the live run, the very first scrape returned zero results. The cause was a wrong input field on the tool side, not a bad link. The clean URL was fine. Expect to debug the Apify input once on first setup, then it runs clean.
Rule of thumb: clean link in, good data out.
Step 3: Replace the default configuration with your real context
Update the prompt with your actual sender details. Write this once and reuse it across every lead. Only the profile blocks change after this.
Fill the sender brief with your:
Name
Role
Company
One-line offer (what you actually do for people)
What a yes looks like (a reply, a 15-minute call, a demo booked)
Tone you want (warm and casual, or direct and brief)
Channels you will use (LinkedIn only, or LinkedIn plus email)
Any hard no-gos (claims you will not make, words you will not use)
